Key responsibilities include: .

Assisting with heavy phone coverage including answering multiple calls, directing and transferring calls to appropriate parties .

Concise and accurate message taking .

Developing a familiarity with the individuals for whom you are answering calls for .

Typing correspondence, filing, copying, ordering supplies, data entry, word processing, sending and receiving faxes, sorting mail and other administrative tasks as assigned .

Providing assistance with meetings which may include organizing and setting up meeting room(s), etc. utilizing Microsoft Outlook Other duties and responsibilities include: · Maintaining highest levels of customer care while demonstrating a friendly and cooperative attitude · Demonstrating flexibility in satisfying customer demands in a high volume, production environment · Consistently adhering to business practice guidelines · Taking direction from supervisor or site manager · Participating in cross-training · Maintaining all logs and reporting documentation with attention to detail · Adhering to all safety procedures · Maintain strict security policy for customer when answering questions and taking telephone calls · Take messages when needed and deliver them via e-mail or voice mail messages · Check e-mails for any request for conference rooms, visitors, climate control and other office issues · Submit temperature, lighting, plumbing issues and all other building requests to building management using Wells Fargo Management system – 5th floor to create corresponding Remedy Ticket · Receive packages from Fed-Ex, DHL or UPS and immediately notify Team Lead of its arrival.

Deliver all other packages directly to the client · Upon arrival in the morning, stock pantry with supplies, start and/or empty dishwasher as needed · Order Aramark supplies · Stock supplies in open cubicles for visitors · Keep visitor areas, conference room and lobby clean at all times · Assist in special projects as requested by client · Book conference rooms using proprietary software ConferenceRoom@MyDesk · Assist in preparing conference rooms for meetings, including working with client to order meals, receive meals and set up in conference room as requested, set beverage service and other utensils as requested · Assist in placing service calls for copiers, printers and multi-function devices after attempts have failed to remedy problems · Collect parking checks and take them to the parking office or the building services office before due date · Maintain Monthly /Daily log of calls, in and out going packages and remedy tickets reported each day and provide information to the Team Lead for monthly mail summary report · Pick up and deliver morning papers · Check and restock paper, toner and supplies for all copiers, printers and multi-function devices · Turret phone responsibility from 5:00 PM to 6:30 PM and additional hours as requested This is a short-term position with Pitney Bowes, for a maximum of two years.
